Introducing the Future of Knowledge Management

Every day, employees spend hours searching for information that should be easy to find. Content lives across too many tools, processes go undocumented, and key knowledge often exists only in someone’s head. This can lead to lost productivity, duplicated work, repeated questions — and decisions delayed by missing information.

That’s why we’re launching the Knowledge Engine – a major step forward in making sure your company knowledge is not only centralized, but accurate, trusted, and continuously improving.

The Knowledge Engine works across your knowledge hub and connected tools to detect what people search for but can’t find. These failed searches become actionable knowledge gaps that you can review, assign, and close with AI-assisted page creation and updates.

The outcome is a more connected, intelligent organization — where knowledge flows freely, employees find answers faster, and teams can work with confidence. Secure, governed, and always evolving.

We will kick-off the next phase of the Knowledge Engine Beta Program on Monday, 15 December 2025, which will continue through 2026. You're welcome to join at any point beyond this point to test, shape, and refine this innovation — and help make it an essential part of how your organization manages and maintains knowledge.

What is the Knowledge Engine?

Happeo’s Knowledge Engine is an AI-powered system that helps you manage and maintain a more reliable, trusted knowledge hub — one where people can easily find the answers they need, make decisions faster, and work with confidence.

Gap Management

Step 1: Gap Detection

The Knowledge Engine continuously monitors searches across your knowledge hub. When employees look for something and can’t find it, the system flags that failed search as a potential knowledge gap — revealing where critical information may be missing or incomplete.

Gap Detection

Step 2: Gap Management

These missed searches are transformed into actionable knowledge gaps, displayed in a central dashboard. Here, you can review, prioritize, and assign them to subject matter experts within your organization — turning insights into clear ownership and action.

Gap Closure
Step 3: Gap Closure

With the help of AI-generated content, teams can close gaps by creating new pages or updating existing ones with relevant, verified information. The AI suggests draft content and placement, while your experts refine and publish it — ensuring every gap is closed with confidence and accuracy.

Over time, the Knowledge Engine will help your knowledge hub evolve on its own — keeping information accurate, discoverable, and complete.

Frequently Asked Questions

Happeo’s Knowledge Engine is an AI-powered system that helps you manage and maintain a more reliable, trusted intranet — one where people can easily find the answers they need, make decisions faster, and work with confidence.

It works by detecting failed searches across your intranet and connected tools to uncover what employees are looking for but can’t find. These missed searches are transformed into actionable knowledge gaps, displayed in a central dashboard where you can review, assign, and close them using AI-assisted content creation and updates.

Over time, the Knowledge Engine helps your intranet evolve on its own — keeping information accurate, discoverable, and complete.

By joining the beta program, you’ll gain early access to a dedicated Happeo Channel where you can follow ongoing improvements, try new features as they’re released, and share your feedback directly with our Product Team. It’s also the best place to ask questions, exchange ideas, and help shape the future of knowledge management in Happeo.

The Knowledge Engine is designed for intranet owners, admins, and content managers who are responsible for keeping company information accurate, up to date, and easy to find. Admins manage knowledge gaps by default, but other users can be assigned to help review and close them.

The Knowledge Engine identifies failed searches — moments when employees can’t find the information they need. These instances are flagged as potential knowledge gaps and displayed in the Gap Dashboard.

As the system evolves, it will detect gaps in additional ways — for example, through Posts and Pages — giving you a more complete picture of your company’s knowledge health and helping you proactively fill gaps before they impact productivity.

All detected gaps appear in an easy-to-use dashboard, accessible by admins from the profile drop-down menu under Knowledge Gaps.

From there, you can:

  • Review and prioritize gaps

  • Spot trends and insights

  • Assign gaps to subject matter experts (SMEs) for closure using AI-generated drafts

No. The Knowledge Engine does not attribute gaps to individual users. It analyzes company-wide search behavior in an anonymized and aggregated way, helping you identify patterns and missing information without exposing personal activity.

When you assign someone to a specific gap, they can start closing it by creating or updating content — either as a new section within an existing Page, or as a completely new Page.

They can then select relevant sources to inform the response, helping the AI generate a draft and suggest where the new content should live. From there, the SME can review, refine, and publish the update — closing the gap and keeping information accurate, discoverable, and up to date.

Gap Closure relies on pages to be in the new and improved version of Happeo Pages – known as Pages 2.0. If the best place for gap closure to be initiated is within a page from the legacy editor, then you will first need to migrate the page so Pages 2.0.

Pages 2.0 provides the structured foundation for consistent, on-brand content. The Knowledge Engine builds on that foundation to help you identify what’s missing, keep it updated, and ensure your intranet reflects the current state of your organization’s knowledge.

If you encounter any issues or bugs regarding migration, please share them in the Pages 2.0 Community Channel in Happeo. For any other issues relating to Gap Closure, please share them in the Knowledge Engine Beta Happeo Channel

All admins can access and manage gaps within the dashboard.

When a user is assigned to close a specific gap, they’ll also gain access — but only to the gaps they’ve been assigned. These can be viewed and managed in either a list or kanban view, keeping access focused and organized.

Gap detection happens continuously in the background. As new searches occur, the Knowledge Engine automatically refreshes your insights — helping you keep your intranet aligned with what people actually need, in real time.

Once you sign up for the Knowledge Engine Beta Program, we’ll enable the feature for your entire organization. No setup is required from your side.

The system begins collecting insights automatically — no complex configuration needed.

Search insights power the Knowledge Engine, so they’re closely connected. We’re currently improving how they’re presented to deliver more meaningful value to your organization.

While AI Feedback is still available for customers using Search AI, some broader search usage data is temporarily unavailable during this update.

In the meantime, the Gap Dashboard shows what employees are searching for but can’t find — helping you prioritize the content that matters most.

Complete the sign-up form linked in this blog to join the beta. You’ll be invited to a dedicated Happeo Channel where we’ll share updates, collect feedback, and guide you through setup.

If you choose to take part, your organization will get early access to the Knowledge Engine for you to test it in your own environment and share feedback on its functionality, usability, and overall experience. Your insights will directly shape the product ahead of its general release in 2026.

All testing information, updates, and instructions will be shared in the Happeo Channel, making it easy to stay informed and provide feedback as new features are released.

You can share feedback through:

  • The Knowledge Engine Beta Channel in Happeo

  • Email or Google Chat with our Product Team

  • Meetings or feedback sessions scheduled with our team

We’re planning a provisional release of the core functionality in early 2026, though final timing will depend on feedback from the beta program. The Knowledge Engine will continue to grow and evolve over time, becoming a powerful part of how your organization manages and maintains knowledge.
